Privacy Policy

ArborScout is a product of PineCloud Labs LLC (“PineCloud Labs,” “we,” “our,” or “us”). ArborScout provides an AI-assisted preliminary tree hazard screening service. This Privacy Policy explains what information we collect when you use ArborScout, how we use it, who we share it with, and your rights regarding that information.

A note on how this service works

ArborScout has two distinct data flows. Tree scan data is collected from all users who run a scan. Personal contact information is only collected if you separately choose to request a free arborist consultation — that step is entirely optional and never required to receive your results.

1.Information We Collect

1a. Scan and Tree Data (All Users)

When you run a tree scan, we collect:

  • Tree photographs: The images you upload or capture. Photos are stored in our cloud database and sent to our AI analysis service for processing (see Section 3).
  • Scan settings: Your selected concern type (e.g., leaning, disease, storm damage) and consequence zone (e.g., near a house, open yard).
  • Approximate location: If your browser grants location permission, we record the latitude and longitude associated with your scan. This helps us build a geographically representative dataset. Location permission is never required to use the service — you can deny it and still receive a full assessment.
  • Device type: Whether you accessed ArborScout on a mobile device or desktop.
  • Referring URL: The web address you navigated from, if any.
  • AI analysis results: The risk scores, structural observations, and synthesized findings generated from your photos.

Scan data is not linked to your name, email address, or phone number unless you separately request an arborist consultation.

1b. Contact Information (Arborist Consultation Requests Only)

If you choose to request a free arborist estimate after reviewing your results, we additionally collect:

  • Name, email address, and phone number: Used solely to connect you with arborist partner(s) in your area.
  • Consent record: The date and time you agreed to be contacted, retained for TCPA compliance (see Section 6).
  • Your scan: A reference to the tree scan you submitted, so arborists have context before reaching out.

Submitting contact information is entirely voluntary. Your full scan results are available without providing any personal information.

1c. Automatically Collected Technical Data

  • IP address: Temporarily used to enforce rate limits on our AI analysis service (maximum 5 scans per hour per IP address). IP addresses are processed for this purpose only and are not stored in our primary database.
  • Anonymous session record: A non-identifying session entry that helps us understand aggregate usage patterns (e.g., mobile vs. desktop split, referral sources). We do not use cookies for tracking.

2.How We Use Your Information

Scan and tree data

  • To analyze your tree photos and generate your risk assessment report.
  • To improve our AI models over time through retraining and evaluation.
  • To build a long-term, anonymized dataset of residential tree risk indicators. This dataset may be licensed in aggregated, non-identifiable form to third parties such as insurance companies, municipal utilities, and arboricultural researchers.

Tree scan data is never shared in a form that personally identifies you.

Contact information

  • To connect you with certified arborist partner(s) in your area who can provide a professional on-site assessment and service estimate.
  • We do not use your contact information for unrelated marketing, and we do not sell it to data brokers.

3.How We Share Your Information

We do not sell personal information. The table below describes every recipient category with whom we share data and the reason for sharing.

4.Data Retention

  • Tree scan data and photos: Retained indefinitely. This data forms the foundation of our long-term residential tree risk dataset and is central to ArborScout's mission.
  • Contact information: Retained until you request deletion. To request deletion of your personal contact data, email support@pinecloudlabs.com. We will process your request within 30 days.
  • Rate-limiting data: IP addresses processed for rate limiting expire automatically within 1 hour.

5.California Residents (CCPA / CPRA)

If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):

  • Right to know: You may request a summary of the personal information we have collected about you, the purposes for which it was used, and how it was shared.
  • Right to delete: You may request deletion of your personal information, subject to certain legal exceptions (e.g., information we are required to retain by law).
  • Right to opt out of sale: We do not sell personal information.
  • Right to non-discrimination: Exercising any of these rights will not affect your ability to use ArborScout or the quality of the service you receive.

6.Telephone Consumer Protection Act (TCPA)

By submitting the arborist consultation request form, you expressly consent to be contacted by phone call, text message (SMS/MMS), or email by ArborScout and/or certified arborist partner(s) regarding your tree assessment, even if your number is listed on a state or national Do Not Call registry. Message and data rates may apply. Your consent is not a condition of receiving any service or quote. You may revoke consent at any time by replying STOP to any text message or by contacting us at support@pinecloudlabs.com.

7.Children's Privacy

ArborScout is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has submitted personal information through our service, please contact us and we will delete it promptly.

8.Changes to This Policy

We may update this Privacy Policy as our data practices evolve. When we do, we will post the revised policy at this URL and update the effective date at the top of the page. Continued use of ArborScout after the updated policy's effective date constitutes your acceptance of the changes.
